Administrative Assistant – 604 Group

Our company is seeking an Administrative Assistant who will assist the President and CEO as well as

perform office management duties. The ideal candidate would be highly efficient, able to multitask and

prioritize duties, detail oriented, and well spoken. You would possess a professional, positive, and

approachable attitude. You will take pride in office management to ensure smooth workflow and a tidy,

organized workspace.



Core job responsibilities include daily reception duties, scheduling, answering phones, and office

management.



Job tasks:

– Provide daily reception duties and administrative support to the President / CEO as needed

– Answer phones, direct calls, maintain voicemail

– Screen visitors

– Schedule meetings (in-person and on Zoom), conference calls, and appointments

– Transcribe dictation

– Prepare memos, letters, and invoices

– Coordinate with office maintenance services (IT, cleaning, security & other maintenance companies)

– Manage incoming/outgoing couriers / mail

– Maintain office equipment and order office supplies as needed

– Clerical duties (physical & digital file maintenance)

– Word processing draft documents (formatting, redlining)



Qualifications:

– Exceptional organizational skills;

– Fluent English with excellent communication skills both written and oral;

– Proficient computer skills and experience with MS Office software including Word, Excel, Outlook,

Adobe Acrobat Reader

– Proficient with web communication tools including Zoom, Slack, MS Teams etc.

– Professional office management ability to ensure smooth workflow

– Experience as an assistant / receptionist / office manager an asset



The position is full-time, to start immediately. Training will be provided.
